Q2: How does Microsoft Teams fit into the Digital Workspace? A: Microsoft Teams acts as the central hub for collaboration—connecting chat, meetings, Viva Engage, and the Knowledge Center for documents and other resources.
Q3: What’s the difference between a Team and a Viva Engage community? A: A Team is focused on collaboration and task execution, while a Viva Engage community is designed for broader conversations, knowledge sharing, and building culture across departments or interests.
Q4: How do I access Microsoft Teams? A: You can access Teams via:
- Desktop app (Windows/Mac)
- Mobile app (iOS/Android)
- Web browser at teams.microsoft.com
Q5: What is a Team?
A: A Team refers to the collection of people who are members of a Team in Microsoft Teams.
Q6: Who can create a Team?
A: Anyone can create a team. In some regions, you may be able to create a team in the Teams application. In some regions, you may need to submit a request. Reach out to your local IT Service Desk for support.
Q7: How do Teams groups support cross-functional collaboration?
A: Teams groups allow users from different departments or locations to collaborate in one space. You can create channels for specific topics, integrate apps, and share files and calendars.
Q8: What is a channel in Microsoft Teams?
A: A channel is a dedicated space within a Team where members can collaborate on specific topics, projects, or functions. Each channel includes tabs for Posts, Files, and other tools.
Q9: What’s the difference between a Team and a Channel?
A: A Team is a group of people collaborating together. A Channel is a space within a Team for specific topics, projects, or departments.

Q11: How do I use Teams to replace a Workplace group that did not transition to Viva Engage?
A: Teams is a great alternative for business or special interest groups that are not on Viva Engage. Watch this training to learn how to set up a Team.
Q12: Can we monitor traffic on a Teams channel? Are analytics available?
A: Yes. Go to Manage Team → Analytics. You’ll see active users, engagement trends, and channel-specific activity. For deeper insights, use Power BI for custom reporting.
Q13: Can we batch add users to a team?
A: Yes. The training reviewed how to invite members using a team code and using a distribution list. It is also possible to automate large lists via Power Automate or a custom script using an Excel list of emails. Q14: How do we get access to M365 Planner?
A: In Teams, click the three dots in the left sidebar, search for Planner or Tasks by Planner and To Do, and add it to your team or pin it.
Q15: Can we link a team to a distribution list for dynamic membership updates?
A: You can add a distribution list, but new additions won’t auto-sync. Manual updates or automation are needed.
Q16: Can we merge channels if someone accidentally creates duplicates?
A: Teams does not currently have a merge feature. You can manually move files, repost messages, and delete or rename the duplicate channel. Please search existing Teams before requesting a new one.
Q17: Can a calendar/event be nested in locked/private sections?
A: Not directly. The Channel Calendar app doesn’t work in private channels. Workaround: create a shared Outlook calendar and add it as a Website tab.
Q18: How do you delete files on OneDrive?
A: From Web: go to onedrive.live.com, right-click file → Delete.
From File Explorer: navigate to OneDrive folder, right-click → Delete.
From Mobile App: tap and hold → Trash icon → Confirm.
