Q1: What is Viva Engage?

A: Viva Engage is Lockton’s centralized platform for business-driven communication, collaboration, and knowledge sharing. The platform enables Associates to join purpose-led Communities that connect colleagues across regions and functions to consume thought leadership, share expertise, and drive results.

Q2: How is Viva Engage different from Workplace?

A: Unlike Workplace, Viva Engage is more than a communication tool — it’s a strategic shift in how we align conversations with business goals. With fewer, more intentional Communities and a focus on clarity and impact, Viva Engage helps us streamline knowledge sharing, strengthen cross-functional collaboration, and support informed decision-making across the organization.

Q3: When should I use Communities?

A: Use Communities to find expertise, resources, and thought leadership. You can also stay updated on news from your region, leaders, and lines of business.

Q4: Will I be required to log into another platform to access Viva Engage?

A: No. Viva Engage is embedded in Teams, an app most Associates already use every day; it doesn’t require another login or platform switch. Important information is available where you already are.

Q5: How do I access Viva Engage?

A: You can access Viva Engage through:

  • The pinned button in your Teams app
  • Opening a new Microsoft Edge browser in Cirrus (U.S. only)
  • Downloading the Viva Engage app in the Company Portal

Q6: Where is Lockton Pets?

A: Lockton Pets and other special interest groups will not be on Viva Engage. Simply put, Viva Engage Communities are your portal into our collective expertise to help you stay aligned with business objectives, share and discover thought-leadership, and access resources and best practices for serving clients. If you want to create a special interest group, feel free to request a Teams group.

Q7: Where did all of my Workplace Groups go?

A: We’ve been building the foundation of Engage to meet evolving business and strategic business goals. As such, we’ve condensed, combined, and removed groups during the migration process that did not fit these goals. If you have questions or concerns, reach out to digitalworkspace@lockton.com.

Q8: Which Communities should I join?

A: When you first log into the platform, you’ll automatically be added to key Communities:

  • One Lockton
  • Your Series or Region

We recommend joining others relevant to:

  • Your local office or campus
  • Your line of business (e.g., People Solutions, P&C)
  • Regional support services (e.g., IT, People & Culture)
  • Optional Communities like regional DEI and Lockton Life

Additionally, since some Workplace Groups were migrated over to the new platform, you may be in additional Communities you weren't in before. Check out the training documentation for how to join or leave Communities.

Q9: Can anyone join a Community?

A: All Communities are public, which means you can join any that are available and useful to you, unless they are automatically populated. Automatically populated Communities will be labeled as "Reserved"—you won’t be able to join or leave these, but you can still view their content.

However, to keep your experience easy to navigate, we recommend only joining Communities that directly benefit you (see Q8. Which Communities should I join?).

Q10: How do I join or leave a Community?

A: Joining is easy: simply search for your Community and click Join. To leave, go to the Community and hover over the ‘Joined’ badge in the banner. Once you hover over it, ‘Leave’ will appear. If you were successful, you will now see a ‘+Join’ badge. More training is available here.

Q11: Can I post on a Community?

A: It depends on the settings of the Community. Some are set to where only admins can post. Others are open to anyone. Reach out to the Community's admin if you have questions.

Q12: Who can see my posts in Viva Engage?

A: All Communities in Viva Engage are public. Therefore, anyone can see your posts.

Q13: What type of content is appropriate for Communities?

A: Here is a quick reference on content dos and don’ts:

Do:

  • Share final, approved content (e.g., white papers, reports, marketing materials)
  • Ask thoughtful questions to spark discussion and learning
  • Post relevant insights, best practices, or lessons learned
  • Promote internal events, webinars, or learning opportunities Link to documents stored in the Knowledge Center

Don’t:

  • Upload native documents as the sole source of truth. Viva Engage is not a document repository. Always link to final documents stored in an official system of record to ensure accuracy and version control.
  • Share confidential, client, or personal health information (PHI).
  • Post personal grievances, workplace complaints, or unprofessional commentary.
  • Use offensive, harassing, or discriminatory language.
  • Share spam, political views, unverified news, or external promotions.

Q14: Are Viva Engage conversations monitored or moderated?

A: Yes. Platform and Community administrators, along with embedded technology, are moderating content.

Q15: What should I do if I see inappropriate content?

A: Please report inappropriate content and let the Community admin know as soon as possible.

Q16: Can I create a Community?

A: No. An open-door policy for community creation often results in an overwhelming number of Communities, many of which serve similar purposes and cause confusion among Associates about which to join.

To ensure Communities stay focused and intentional, we’ve disabled Community creation. If you want a new Community, please review the below.

When considering a new Community, please consider the following:

  • There is a distinct audience or purpose not already served by an existing community. Example: A new regional office or business unit.
  • The topic requires ongoing knowledge sharing. Example: A community for a new product line or service.

A Community request will not be approved if:

  • The topic overlaps significantly with an existing one.
  • It’s for a one-time announcement or a project/campaign with an end date.
  • It’s a professional network or community of practice (ex., Global Communications Leaders
  • It’s for personal or non-business-related content.

If your Community proposal checks these boxes, email the following information to digitalworkspace@lockton.com:

  • Community Name
  • Community Region/Location
  • Community Owners
  • Intended Audience
  • Business Purpose

Q17: Is there a place where I can create a community?

A: Please feel free to create a private Teams and corresponding Teams Channels for your Community.

Q18: How do Microsoft Teams and Viva Engage live together?

A: Teams is more about collaboration — working together on projects and tasks. Viva Engage is more about communication — sharing news, building company culture, and finding expertise. However, both live in one convenient space.

Q19: How do I add Viva Engage to Microsoft Teams?

A: Good news – it's already there! Viva Engage is pinned to your sidebar in Teams.

Q20: Can I disable Viva Engage?

A: No. You can modify notifications to fit your preferences, but Viva Engage is an important platform full of information you need to work at Lockton and support your clients and teammates.

Q21: How do I manage my notifications?

A: Managing platform and Community notifications is easy. Click here to learn more. Please note that Engage Announcements will go to your email even if you have notifications off. This ensures that critical communications reach everyone, regardless of their individual notification preferences.

Q22: Can I access Viva Engage on my phone?

A: Yes! Access resources and conversations on the go. Click here to learn more.

Q23: What is Storylines?

A: Viva Engage Storylines is a feature that allows individuals to share personal, authentic, and work-related updates in a social-media-style format within Microsoft Viva Engage. While this feature can be a powerful tool for connection and visibility, we are currently focusing on building alignment and engagement within our Communities. As such, we are not using Storylines at this time.

Q24: How do I stay engaged on Viva Engage?

A: It's easy - simply visit your Communities, react or comment on interesting content, and check back often!

Q25: How will this platform evolve?

A: Exciting question! This is just the foundation of what’s to come. As we move to the future, we'll add on additional functionality to better connect all our resources. Stay tuned!
